2. Who this policy applies to

Most of the people we deal with are buying for a business, though we sell to private customers too. This policy covers:

• visitors to this website;
• people who apply for or hold an account with us;
• named contacts at our business customers and suppliers;
• anyone who contacts us by phone, email or through our contact form.

Information about a business itself is not personal data, but the details of the people who work there are, and this policy applies to those.

3. Information we collect

Information you give us

• Account sign-ups: your business name, the nature of your trade, your VAT number if you give one, and the name, email address and telephone number of the person using the account.
• Orders: the products ordered, any purchase order reference, and the name of the person placing and collecting the order.
• Payments: the record of what was paid and when. Card details are handled by our payment provider at the counter and are not stored by us.
• Enquiries: the content of emails, contact form submissions and notes of telephone conversations.

Information we collect automatically

• Technical data: IP address, browser type and version, device type, operating system and time zone setting.
• Usage data: pages viewed, products browsed, how long you spend on the site and how you arrived at it.

Some of this is collected using cookies and similar technologies. See section 7 below.

Information from other sources

We may check your business against Companies House and other publicly available sources in order to confirm that an account application is genuine and that you are buying for a business.

4. How we use your information, and our lawful basis

Data protection law requires us to have a lawful basis for using personal information. Ours are set out below.

• To set up and administer your account: necessary for the performance of a contract with you, or to take steps at your request before entering into one.
• To pick your order and call you when it is ready to collect: performance of a contract.
• To confirm you are buying for a business: our legitimate interest in supplying the trade and in trading safely.
• To provide technical support and answer enquiries: our legitimate interest in running our business and supporting our customers.
• To keep accounting, tax and transaction records: compliance with a legal obligation.
• To send marketing about products and offers: your consent, or our legitimate interest in marketing similar products to existing business customers. You can opt out at any time.
• To keep the website secure and improve it: our legitimate interest in maintaining a safe, working website.

5. Marketing

If you have asked to hear from us, or you are an existing customer, we may send you information about new product lines, stock and trade offers. Every marketing email includes an unsubscribe link, and you can tell us to stop at any time by emailing sales@ktair.co.uk. Opting out of marketing does not stop service messages such as order confirmations, collection notifications and receipts.

6. Who we share your information with

We share personal information only where we need to. Recipients may include:

• payment processors and our bank, to take and reconcile payments;
• manufacturers and suppliers, where an item has to be ordered in for you or a warranty claim has to be raised;
• IT, hosting, email and software providers who support the running of our business and this website;
• our accountants, auditors, insurers and legal advisers;
• regulators, law enforcement or other authorities where we are required by law to do so.

We require anyone who handles personal information on our behalf to keep it secure and to use it only for the purposes we specify. We do not sell your personal information.

7. Cookies

Cookies are small text files placed on your device when you visit a website. We use them for the following purposes:

• Strictly necessary: keeping you signed in to your account, remembering the contents of your basket, and recording your cookie preferences. The site cannot work properly without these, and they do not require consent.
• Analytics: understanding which pages and products are used, so we can improve the site. These are only set if you accept them.

You can accept or decline non-essential cookies using the banner shown when you first visit the site. You can also block or delete cookies through your browser settings, though doing so may stop parts of the site working, including signing in.

8. Transfers outside the UK

We aim to keep personal information within the UK. Where a supplier we use stores or processes information outside the UK, we make sure an appropriate safeguard is in place, such as an adequacy decision covering the destination country or the International Data Transfer Agreement approved for use in the UK.

9. How long we keep it

We keep personal information only for as long as we need it. In practice that means:

• Account and order records: for the life of the account and then seven years, to meet accounting and tax requirements and to deal with any warranty or dispute.
• Unsuccessful account applications: twelve months.
• Enquiries that do not lead to an account: twelve months.
• Marketing preferences: until you tell us to stop, plus a record of the opt-out itself so we do not contact you again by mistake.

10. Keeping your information secure

We use appropriate technical and organisational measures to protect personal information against loss, misuse and unauthorised access, including access controls, encryption of data in transit and restricting access to staff who need it. No transmission over the internet can be guaranteed completely secure, so please keep your account password confidential and tell us straight away if you think it has been compromised.

11. Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you;
• have inaccurate information corrected;
• ask us to delete information where there is no good reason for us to keep it;
• object to us using your information for our legitimate interests;
• ask us to restrict how we use your information while a concern is investigated;
• ask us to transfer information you gave us to another provider in a machine-readable format;
• withdraw your consent at any time, where we rely on consent.

To exercise any of these, contact us using the details in section 1. We will respond within one month. There is no charge, though we may ask you to confirm your identity first.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

12. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. Where a change is significant we will tell account holders by email.
